XPFLOW Contract Management is part of the XPFLOW suite of web based applications for brand asset management. XPFLOW Contract Management enables businesses to create and manage contracts effectively.

Configurable Contracts and Approval Workflow

  • Support for configurable forms as well as Pre-defined templates. Templates or forms that are to be reused can be created and stored in the XPFLOW Contract Management Product. When needed, they could be associated to workflow.
  • The ability to request for RFP’S and manages the response in the system. Contract initiation process can be setup to go through multiple phases each having its own work process definition and users. Contracts can be categorized based on product lines, location, sub-location or any other configurable field in the system.
  • Multiple attachments and multiple types of attachments are supported.
  • The contract approval workflows in the product are also configurable based on multiple parameters like location or a product line.
  • The product provides the ability to use multiple workflows and to associate them with multiple forms.
  • XPFLOW enables the creation of user roles based on an organization’s needs and administration of the rights which determine the information each user can access, and what information they can view and edit, to the detailed level of the attributes and tabs that appear on the Form Document.
  • All form and workflow creation and management is done using a simplified web based user interface.

Contract Management

  • All Vendor/Licensee Information is stored centrally thereby providing easy access to the data
  • All contract documents that are created are stored within the control repository and versions and history is maintained. Any subsequent changes to an approved contract are versioned and historical data is maintained
  • Automated versioning can be implemented for repeated submissions of the same document
  • Access to contract data and any other information in the system is via the web based interface
  • All contracts are stored in a centralized location and are searchable using configurable parameters and also via a full text search
  • Cataloging functionality based on various parameters
  • Ability for a user to create and manage set of favorite documents

Notification and Alerting

  • Supports e-mail notifications and online alerts based on contract renewal, action items and based on any other field in the contract document
  • Notifications can be setup based on certain user actions or based on time or a combination of both.
  • All notifications are recorded within the system
